Quote Management
Worksplanner has the ability to build up your hourly charge rate from scratch allowing you to calculate your over head charge, your labour charge and your margin
Each user has the ability to create, name and calculate 4 different charge rates for example if you run a maintenance company you have the ability to generate charge rates for a labourer , a semi skilled tradesman, a skilled tradesman and a charge hand .
When compiling a quote, charge rates are chosen from drop down menus, quotes are based on a standard time value basis for each task, plus materials. Once completed there are two report that can be printed off the first containing the client quote and a second management report showing a quote summary giving the time allocated, the total value of labour ,overheads, materials and margins.
The various stages of each quote can be tracked from quote requested, quote issued open and quote closed this allows the user to maximize each potential quote and to track the out come of each request.
When the task is allocated to a technician the appointment is booked directly into that persons diary which can be viewed to see all other appointments, at this stage the user has the ability to set future appointments if needed i.e. if you were a garden maintenance company and wished to block book a Monday morning appointment every two weeks for 16 visits this time slot would be allocated and be visible the next time you raise a works order
Work Order Management
Once a quote or work request has been accepted your worksplanner will generate a works order these can be allocated to specific employees which in turn are linked into their individual weekly works plans, the time needed to undertake their tasks are allocated and this is populates the calendar showing these times as taken, these can be single events or re occurring events at regular times into the future.
These work tickets and diary sheets can be printed off with each record containing a unique order number that can provide an audit trail from issue to completion so as to ensure the accurate allocation of associated costs i.e. labour and materials.
These works tickets can be set to various stages so as to track and manage numerous tasks simultaneously i.e. works ticket unallocated, works ticket issued, works tick completed but not invoiced, all of these can be tracked by client, by technician or works order status.
